A practical invoice workflow

Set up your company profile once with your business name, address, contact details, logo and, if applicable, GSTIN and bank information. Add a customer with their billing details, then create an invoice with a date, items, quantities, prices, discounts, tax fields and payment notes. Review the invoice before saving or sending it.

Invoice totals are calculated from the values entered in the form. You can choose a numbering format and prefix, and the app assigns invoice numbers automatically. Saved invoices are associated with customer records, making it easier to find previous documents and see payment activity for a customer.

Customize invoices for your business

Choose the Classic, Modern or Minimal template and apply your business branding. You can add a logo, adjust colors and fonts, include signature or seal images, set header and footer details, and choose which optional information appears. Each template has a set layout; individual elements cannot be freely dragged into any position.

Invoice numbering can use Prefix-Year-Sequence, Year-Sequence, Prefix-Sequence or a sequence-only format. Set the prefix and next number to match the numbering convention you use. Before issuing an invoice, review the number, customer, line items, taxes and payment details.

Keep customer payments and reports in view

After an invoice is saved, you can record payments against it, including partial payments. The invoice view shows amounts paid and outstanding. Customer profiles connect their invoices, payments and statements, while reports summarize sales, expenses, direct income, payments, balances and GST data recorded in the app.

Invoix records payment information but does not collect card payments or transfer money. GST reports organize data already entered in invoices; they do not file returns or communicate with the GST portal. Use your own review process or consult an accountant for tax and compliance questions.

Free access and product limits

Hitasoft Invoix is offered as a free invoice generator. You can create an account and start creating invoices without a paid plan. The app is designed for browser-based business invoicing and is also available as a mobile app. An internet connection is required for account and cloud records to sync with the service.

The product focuses on invoices and related business records. It is not accounting advice, GST return filing software or a payment processor. Check the invoice fields and figures before sharing documents with customers, and keep any additional records your business requires.
